Worker Vetting Process

OnLocum takes worker verification seriously. This guide explains our multi-level vetting process and how you can view and understand worker credentials.

Verification Levels

Level 1: Basic Verification

All workers must complete basic verification before accessing the platform:

You can set minimum verification levels when posting shifts. Premium-verified workers are prioritized for sensitive care roles.

Professional Credentials

For all healthcare workers:

  • Professional License

    • Status checked (active/suspended/revoked)
    • Expiry date tracked
    • Issuing authority confirmed
  • Certifications

    • BLS/ACLS/PALS certificates
    • Specialty training certificates
    • Continuing education credits
    • Expiry monitoring

Identity Documents

  • Government ID (National ID or Passport)

    • Authenticity verification
    • Photo matching
    • Expiry tracking
  • Professional Photo

    • Face matching to ID
    • Recent (within 2 years)
    • Professional standard

Additional Checks

  • Tax Compliance - PIN certificate verified
  • Vaccination Records - Where required

How to View Worker Credentials

When Reviewing Applications

  1. Open your shift application list
  2. Click on a worker's name or photo
  3. View their full profile including:
    • Overall trust score
    • Verification level
    • Document status breakdown
    • Work history on OnLocum

Accessing Full Credentials

To view detailed credential information:

  1. Go to Applications or Workers
  2. Click View Full Profile
  3. Navigate to Credentials tab
  4. See complete document breakdown

Warning

For privacy reasons, you see verification status but not actual document images. If you need to verify specific documents, contact the worker directly or request through OnLocum.

Background Check Process

What's Included

OnLocum background checks cover:

  • Criminal Record Search - National database check
  • Court Records - Civil and criminal cases
  • Professional Sanctions - Licensing board actions
  • Employment Verification - Past positions confirmed

How It Works

  1. Worker consents to background check
  2. Third-party agency conducts search
  3. Results reviewed by OnLocum compliance team
  4. Status updated on profile

Background Check Results

Results are categorized as:

Viewing Background Status

Workers who've completed background checks show:

  • "Background Checked" badge
  • Date of last check
  • Clear/Conditional status (not detailed findings)

Custom Vetting Requirements

Setting Your Standards

As a facility, you can set custom requirements:

  1. Go to Settings > Vetting Standards

  2. Configure minimum requirements:

    • Minimum verification level
    • Required documents
    • Background check requirement
    • Specific certifications
  3. These apply to all your shift postings

Per-Shift Requirements

Override facility defaults for specific shifts:

  1. When creating a shift, go to Requirements
  2. Add or modify credential requirements
  3. Workers not meeting requirements won't see the shift

Float Pool Custom Vetting

For your facility float pool:

  1. Go to Workers > Float Pool Settings
  2. Set additional requirements for pool members:
    • Facility-specific orientation
    • Additional document requirements
    • Custom assessment completion

Expiring Credentials

You're notified when assigned workers have expiring credentials:

Automatic Protection

OnLocum automatically:

  • Blocks shift acceptance for workers with expired required credentials
  • Notifies you if a confirmed worker's credential expires
  • Updates worker availability when documents lapse

Quality Assurance

Ongoing Monitoring

OnLocum continuously monitors:

  • License status changes
  • Credential expirations
  • Background check renewals (annual)
  • Professional sanctions

Immediate Notifications

You're alerted immediately if:

  • A worker's license is suspended
  • Background check reveals new issues

Float Pool Benefits

Workers in your float pool have:

  • Completed your facility-specific onboarding

  • Priority notification for your shifts

Adding to Float Pool

After successful shifts, consider adding workers to your pool:

  1. Review shift performance
  2. Check their overall credentials
  3. Click Add to Float Pool
  4. Optionally require facility onboarding

Float Pool Vetting

Additional vetting for float pool members:

  • Facility-specific orientation
  • IT system access (if needed)
  • Department-specific training
  • Internal compliance requirements

Best Practices

When Reviewing Workers

  1. Check verification level first - Match to shift sensitivity
  2. Review recent ratings - Focus on last 10-20 shifts
  3. Check document status - Ensure all required docs are valid
  4. Look at facility-specific history - If they've worked for you before

Balancing Speed and Safety

  • Use your float pool for urgent shifts (pre-vetted)
  • Set appropriate verification levels (not too restrictive)
  • Trust the platform's verification for open market workers
  • Add good workers to your pool after successful shifts
